Summary
Assisting the Property Manager with administration, co-ordination and following up of all relevant documentation pertaining to acquisitions.
Duties
•Locating of leases.
•Making of files and ensuring all documentation filed timeously.
•Filling out of addendums.
•Forwarding of documentation to Agents and Property Manager.
•Following up on negotiations.
•Following up on property owner approval.
•Monitoring of progress of property documentation.
•Obtaining of all approved documentation
•All health, safety and environmental responsibilities on site and ensuring adherence to all Company Policies in this regard
Job description - Administration
•Receiving applications from National Property/Facilities
•Acknowledging receipt and creating of files for the application
•Locating of leases and BS Numbers
•Making copies of leases
•Identifying correct property owners
•Identification of last rental paid and the banking details thereof (SCEAF)
•Breakdown of the current rental status and identification escalation percentages
•Breakdown of the lease and option period.
•Creation of addendum/renewal or a new lease
•Liaising with civil contractors and structural engineers pertaining to delivery of reports
•Submission of file to the Property Manager for approval to obtain property owner approval.
•Assisting with obtaining of various signatures.
•Creating addendums for property owner approval.
•Requesting and coordinating meetings.
•Liaising and assisting the Negotiator.
•Capturing of information
•Travelling in order to collect or deliver documentation when required.
Education/skills requirement
•Matric and previous administrative experience
•Computer literate with MS Office experience
•Ability to communicate, co-ordinate and negotiate
•Ability to work independently
•Must have attention to detail
•Deadline driven
•Code 8 Drivers license and own vehicle
