JOB PURPOSE:
Responsible to the Head of Human Resource and Support Services for the effective and timely delivery of the following Support Services across the Business in order to maximise value consistent with appropriate risk management:
•Embed an effective Support Services organisation;
•Deliver efficient and cost-effective Facilities Maintenance, Janitorial and Catering services at the Companies facility;
•Manage the Companies Vehicle Fleet efficiently and cost-effectively;
•Ensure the effective and timely delivery of appropriate Government Relations and Support Services activities to support the Companies business;
•Deliver senior executive office management services;
ACCOUNTABILITIES:
The jobholder will understand and comply with the processes and procedures contained in the following documents:
•Companies Operational Framework;
•Companies Quality Management Systems Manual;
•Companies Human Resource and Support Services Operations Manual;
•Companies KSA Procurement Manual;
•Companies Safety, Health & Environment (SHE) Management System Manual;
•Companies Finance Policy Manual.
Effective delivery and development of the Companies Support Services function (e.g. Facilities Maintenance / Business Administration / Primary First Aid Care / Building Security / Mail & Courier services / Fixed Asset & Inventory Management / Company Vehicle fleet administration / Catering & janitorial services);
Effective delivery and development of the Companies Government Services function (e.g. Passports & Visas / KSA Driving Licences / Chamber of Commerce authentications);
Effective delivery of comprehensive office management services to the Companies senior Executive;
Effective management and control of Delegated Authorities;
Administration and security of the Companies HQ Petty Cash float;
Performance monitoring and reporting on sub-contracted staffs employed in the Companies HQ facility in accordance with Service Level Agreement KPI’s / contractual terms and conditions;
Liaise and interface with SAG agencies (e.g. Ministry of Labour / Ministry of the Interior) with respect to processing of business and employee related documentation;
As the appointed Support Services department Quality Management System (QMS), Quality System Representative (QSR), the jobholder shall be responsible for its effective maintenance and continuous improvement. The Companies QMS is subject to scheduled 1st party audits by Company Internal Auditors, 2nd party Supplier Approval audits and 3rd party Continuing Assessment and Strategic Review by British Standards Institute (BSI) auditors.
As the nominated departmental Safety, Health & Environment (SHE) Representative, the jobholder shall be responsible for ensuring all Support Services employees and sub-contracted staff working at the Companies HQ are properly briefed and comply with SHE Management System procedures and the Companies Evacuation procedures;
Maintain and develop a Customer focused approach that delivers customer satisfaction and continued improvement across the department;
Provide regular activity reports in respect of job accountabilities.
RE.CRUITMENT SPECIFICATION:
CRITICAL:
•The Saudi National jobholder will hold as a minimum a diploma (or equivalent) in Business Administration (or related subject);
•Minimum IELTS (International English Language Testing Scheme) Level 6;
•A minimum of 5 years supervisory experience in a Business Administration / Customer Services appointment within a large multi-national organisation;
•Computer literate with advanced level MS Office system operating experience;
•A good working knowledge of EN ISO 9001:2008 Quality Management System procedures;
•A good working knowledge of OHSAS 18001:2007 Management System procedures;
•A good working knowledge of Procurement Processes and Procedures;
•Strong organisational, interpersonal and communications skills;
DESIRABLE:
•A qualified ISO 9001 Quality Management System Internal Auditor;
•Qualified to NEBOSH Level 3 Certificate standard in Occupational Health and Safety;
•A working knowledge of SAG agency procedures (e.g. SAGIA / Ministry of Labour).
