  • Administration Officer Required– Richards Bay, KZN
    This position will be Reporting directly to the Office Manager; Richards Bay
    The successful incumbent MUST meet the following requirements:
    • Administration or Secretarial qualification
    • MINIMUM of 3 years’ administration experience preferably in the built environment/consulting engineering industry
    • PREFERABLY having held a position of secretary / admin officer and providing support at a senior management level
    • Project administration skills ESSENTIAL
    OTHER COMPETENCIES REQUIRED:
    • Demonstrated knowledge of the MS Office suite (Candidates will be required complete a competency exercise as part of the recruitment and selection process)
    • Ability to compose complex letters and/ or memoranda, securing information from a variety of sources and exercise judgment in the selection of items to be included
    • MUST be able to screen letters, memos, reports and other materials to determine action required
    • Ability to work under pressure, multi-task and meet deadlines
    • Knowledge of filing, archiving and library maintenance systems
    KEY RESPONSIBILITIES:
    • Provide general secretarial / admin assistance
    • Project and financial administration
    • Facilitate travel arrangements (booking of flights, hotels, cars etc.)
    • Order general services and supplies as and when necessary
    • Arrange meetings
    • Welcome and provide refreshments to visitors
    • Answer the telephone and screen incoming calls
    • Coordinate with internal and external clients on a broad variety of issues
    • Liaise with other company branches regarding certain administrative related issues
    • Management of the branch emails
    • Oversee site and survey equipment
    • Provide support for tender submission preparation and tender tracker maintenance
    • Corporate, project and general filing
    • Contact suppliers for BEE certificates when necessary
    • Control of petty cash and manage staff lunches
    • Update / maintain staff training forms
