  • To maintain the buildings and grounds of 2 office buildings, directing staff and overseeing the upkeep of equipment and supplies. To ensure the buildings and grounds are maintained, which entails daily and weekly cleaning schedules as well as determining and scheduling repairs, renovation projects, waste reduction improvements and safety inspections
    Key Tasks and Responsibilities:
    • The Facilities manager will be in charge of a budget and must negotiate with outside vendors for supplies, repairs and other measures. To oversee groundskeepers, maintenance workers, and custodial staff.
    • The Facilities manager’s job role will be responsible for making sure that buildings and their services meet the needs of the tenants. He will be accountable for services such as cleaning, security and parking, to make sure the surrounding environment is in a suitable. He will also manage any building maintenance with things like heating and air conditioning, to maintain the working environment.
    • The Facilities manager will be expected to work around 40 hours a week typically from 8 am until 5 pm. However, in some cases, he may be expected to work extra hours; this may be when there is an emergency that needs to be dealt with urgently. The role is usually office-based but there may be a time when travelling is required.
    • The typical functions of this job position may vary. However, the duties would typically include managing any refurbishments, renovations and office moves to make sure they all run smoothly and according to plan. On renovations and in general it is of utmost importance that Facilities manager knows how to read plans, and measure office spaces accurately
    • The Facilities manager will also be responsible for the general upkeep and maintenance of buildings to ensure that they meet health and safety standards and also the legal requirements. Will need to manage the cleaning, waste disposal, security and parking of both buildings, while managing the budgets.
    • The Facilities manager will also be responsible for managing the office systems, which can often include the IT and office equipment.
    • The Facilities manager will ensure all access points to the buildings are secure and that the highest security standards are maintained in each building. To ensure visitor regulations are maintained and that the fire prevention and fire fighting equipment are in place and in proper working order. To be able to come to buildings after hours if urgent matters arise, i.e. security and to be able to stay (or come in earlier) to lock/open up, on days that renovations are being done.
    • To ensure that the building maintenance such as service delivery and turnaround times are adhered to. Have Building maintenance knowledge and fault reporting i.e.; aircon’s, lifts, contracts and services and to report daily security breaches to higher management. To carry out Inspections to buildings on a regular basis and check and authorise of maintenance related accounts for payment
    • The Facilities manager will have to oversee the activities of service and maintenance contractors and staff as well as Pest Control, roof repairs etc. and to ensure all maintenance is completed to required specifications and standards and to ensure fire prevention and fire fighting equipment are in place and in proper working order and that both buildings are clean, safe and well maintained at all times
    • The Facilities manager to ensure that the building manager and staff have the necessary tools and equipment available. He will be fielding telephone calls and correspondence wherein incidental (unplanned) maintenance requirements are advised and ensuring that appropriate responses are given to such complaints.
    • The Facilities manager will be responsible for the lift contracts and services for both buildings Lift contracts and services, obtain quotations and to take appropriate action to ensure that maintenance requirements are met by tenants, where necessary and do Tenant handovers.
    • The Facilities manager will be responsible to meeting and screening of new potential tenants, have daily interaction with tenants and tending to service providers. He will also need to establish and maintain mutually beneficial relationships with tenants and service contractors
