    Finance Operations Manager – Law Firm
    Sandton CBD
    My client is a well-established and highly recognised international law firm based in Sandton - CBD . The Finance Operations Manager will be responsible for working with the Senior Finance Operations Manager in London in expanding and developing an operational Finance team in the Global Business Services Center (GBSC) in Johannesburg. Initially they will manage a team responsible for the delivery of billing, e-billing and first stage credit control support. They will be responsible for motivating and developing the operational Finance team in the GBSC to provide a high quality service to the business. They will monitor the associated metrics to assess how effectively the processes support the needs of the business through developing a culture of continuous improvement. It is anticipated that in the next 18 months other Finance processes will move to GBSC and the Finance Operations Manager will play a key part in the recruitment, training and development of the staff required to carry out these additional processes.
    The GBSC Finance Operations Team is part of the Company’s Finance Function, and report to the Group Financial Controller and Senior Finance Operations Manager.
    The Function has four key areas of responsibility:
    • Transaction processing
    • Reporting
    • Control
    • Decision Support
    The primary departments in the company Finance Function are Billing (including e-Billing), Business Control, Accounts Payable, Accounts Receivable, Partners matters, Salaries, Financial Analysis, Financial Systems and reporting. The department is responsible for handling the firm's financial matters.

    • Finance management experience with a sound understanding of professional services with at least 3 years gained from working in a shared services environment.
    • Commerciality; must be focussed on delivering high quality services in a fast paced and challenging environment.
    • Focus on continuous improvement to ensure Finance processes are aligned to business needs.
    • Experience of motivating a team in a high volume and time critical environment.
    • Goal orientated with sound analytical and numerical skills and the confidence to use these as a basis to promote service excellence.
    • Excellent all round Computer skills including Excel and the MS Office Suite
    • Willing to work overtime as and when required
    • Legal Finance background – desired
    • Knowledge of UK VAT regulation – desired
    • Knowledge of SRA Accounts Rules– desired
    • Previous experience of Elite Enterprise or 3E– desired
    • Previous experience of Chrome River expense and invoice management– desired
    Management of the Finance Operations Team
    • To manage the day to day performance and service delivery of the team providing a customer focussed approach to dealing with all queries
    • To manage the day to day performance and service delivery of the e-Billing team ensuring the prompt upload of e-Bills to various e-Billing solutions and prompt resolution of issues.
    • To report on and analyse data in order to improve the service delivery of the team. Monitor the service performance and make recommendations for continuous improvement of service delivery.
    • To support the Senior Finance Operations Manager with regular assessments of the customer satisfaction of the quality, cost and availability of the services.
    • Manage the team to ensure that all administration tasks for core Finance process are carried out in line with agreed associated service level agreements.
    • Establish development and training plans for each member of the team with a focus on promoting, developing and retaining high calibre administrators through job enrichment and training.
    • To manage and motivate the team to operate in a high volume and time critical environment, ensuring that training and development needs are understood and met. Provide the team with "hands-on" support as required.
    • Responsibility for the on-boarding of additional Finance processes in the GBSC to include the recruitment and training of staff and the development of systems, processes and documentation.
    Client Service
    • To be an advocate for customer service excellence and drive a customer centric culture across the whole of Finance.
    • To build and maintain relationships with internal and external customers
    • To strive for service excellence, working with the Finance management team and other key stakeholders to identify and implement service improvements across the whole of Finance.
    • Establish regular meetings with the Senior Finance Operations Manager and other London Finance managers to feedback performance metrics and respond to customer feedback.
    • To provide information and recommendations to develop and implement new services, policies and procedures for Finance Operations.
