    Overall Purpose of the Job
    To offer general administrative assistance other as deemed necessary for SACAA purposes and issuance of certificates in accordance with legislation. Screening telephone calls and handling enquiries; organising your manager’s diary and making appointments; dealing with letters and emails; writing letters and producing reports and presentations; arranging meetings; organising and maintaining office systems; taking notes at meetings; making travel arrangements looking after visitors Acting as office manager and supervising other administrative functions

    Education (Formal Qualification required) Minimum
    Grade 12 and formal training in office procedures and use of office equipment. Ideal
    Diploma in Business Administration/Secretary or Basic Project Management

    Training (On the job training should the present incumbent leave) Minimum Ideal:
    Good knowledge and understanding of SACAA intranet systems; trained on the job in your company’s procedures ;Diploma in Business and Administrative Management; Advance Training in Microsoft Systems;

    Ensure appropriate communication within SACAA and with external clients

    Customer Interface:
    Project a satisfactory image of the SACAA to all customers in dealing promptly with telephonic, mailed or personal interactions

    Legislation Administration:
    Provide administrative support with information data and records. Process operation manuals and amendments. Update database regularly. Control fees and applications. Issuance of IPS, FOP, AOC, ATO numbers, etc.

    General Administrative Functions:
    Develop and maintain a proper filing system; screen and classify documents; track documents; accurately retrieve information as and when required. Coordinate functions and meetings. Arrange domestic and international travel. Manage the control of all consumables and liaise with the Procurement Department regarding stock. Prepare and assist with departmental meetings

    Other Special Requirements
    All tasks and responsibilities as specified by the CAA quality manual and CAA quality manual procedures references, including references to all staff and generic terms such as executive management.
