  • Diary Management
    Planning and Scheduling Executive Manager : Corporate Services (EM:CS) annual, quarterly, monthly, weekly and daily plans and tasks as required by the receiving schedules, scheduling, inviting relevant stakeholders and coordinating that EM:CS and/or stake holders have all required meeting documentation within Human resources Service Level Agreement (HR SLA) and prior to meeting
    Support and Coordination
    Schedule and coordinate meetings in the EM:CS`s dairy by receiving requests for the meeting, identifying priority, identifying schedule opportunities , revolving conflicting meeting schedules and scheduling appropriately within SLA
    Identify meetings that the EM:CS cannot attend and recommend alternative attendee
    Manage that meetings are well coordinated by booking the venues, organizing documentation, catering and technology as required and prior to the meeting
    Stake holder Relationship Management
    Represent Corporate Services Division on first contact by responding to communication professionally, referring stakeholders accordingly and building professional and supportive relationships with stake holders that engage with EM:CS on a regular bases as required
    Building influential relationships with stakeholders to Services effective and efficient processing of Corporate Services Division requirements by gaining trust of stakeholder contact people, understanding
    Stake holder processes and requirements and influencing stake holders appropriately to achieve Corporate Services Division`s objectives as required
    Resolving stake holders queries and complaints by receiving the query or complaint, evaluating the cause and solution needs, implementing a solution and resolving the query in a manner that maintains the stake holder relationships within the HR SLA
    Develop and update the divisional calendar with all key engagements and deliverable deadlines, implement reminders to relevant stake holders to submit requirements, track compliance with calendar and coordinate that all calendar deliverables are received annual, quarterly , monthly and weekly and daily plans and tasks as required by receiving schedules, scheduling, Inviting relevant stakeholders and coordinating that EM:CS and/ or stakeholders have all required meeting documentation within SLA and prior to meeting
    Office Management
    Draft meeting documentation including minutes, agenda`s, matters arising, resolutions and meeting invitations, submit for approval and distribute within agreed turnaround time
    Managing the quality of all documentation being submitted to the EM:CS by reviewing all documents, checking for accuracy, relevance and completeness, returning foe amendment and address recurring issues by escalating prior to submitting documents to CEO and as required
    Coordinate leave applications for members of the CEO office by checking leave application in line with the team calendar and leave schedules, making recommendations regarding leave approval or decline and submitting to EM:CS for approval
    Managing a smooth daily functioning and operations of the EM:CS office by identifying challenges being faced in the office identifying solution, implementing and revolving them
    Event Management
    Coordinate Corporate Services Division events (including executive strategy sessions, staff meetings, year end functions, team buildings etc) by receiving brief and budget, identifying special needs and requirements, sourcing service providers in line with the procurement policy, conducting venue inspections when required
    Manage event service providers by clearing defining contractual requirements, managing delivery against defined requirements and addressing non- delivery as when required
    Manage that events are successfully attended by drafting invitations and reminders, distributing and managing RSVP within deadline
    Conduct post function evaluation by identifying lessons learnt and successes experienced and reporting on event success including recommendations on future events within deadline
    Reconcile event spend post event by collating all expenses and reconciling with allocated event budget, addressing issues and reporting on budget compliance by agreed deadline
    Travel Coordination
    Coordinate travel, accommodation and car hire for EM:CS by engaging with Supply Chain Management
    Coordinate the capture and maintenance of the EM:CS travel logbook by receiving travel mileage monthly ,capturing into the defined template and submitting for financial recompense and SARS submissions annually
    Coordinate payment of Subsistence and Travel ( SNT)Allowance to EM:CS by collecting all travel documentation, collating and completing the SNT templates and submitting to finance for payment
    General Administration
    Provide any other administrative support by receiving request ,addressing, resolving and completing as per standards and deadline , as and when required
    Manage that all documentation is drafted accurately within turn around time, filed securely and confidentially is maintained on an ongoing basis

    Inherent Requirements

    Degree in Business Administration or similar or executive PA qualification required
    Computer literacy levels
    Working knowledge of SAP Systesm
    8 years executive PA exprerience
    5 years public sector
