  • Role Summary Duties and responsibility includes providing administrative support and communication to ensure, and drive efficient operational excellence, ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. Support the Branch Manager and employees through a variety of tasks related to the above mentioned. Help to stay and be productive as a team to reach targets. Accountabilities / Key Performance Areas Administration & Clerical Duties Communicate and implement changes as directed Responsibilities (but not limited to) Administrating all office duties Clerical and Administration Support to Co - Workers, and Other Divisions Provide Word – Processing Support Branch Personal files – Keep updated, and compile info Checks all paperwork and information needed on job files on a daily basis Following up on paperwork necessary to close job files – Customers/Suppliers and Technicians Control Timekeeping Daily Daily assisting on job file, and any other paperwork queries Prepare Final Labour Reports Prepare and Calculate Overtime Hours Booking Vehicle Maintenance Data Capturing of All Jobs Done Opening and Closing of Jobs Invoicing of Jobs Draw up Estimates & Quotations Raising P/Orders to Suppliers GRV Suppliers Tax Invoices Scheduling branch meetings and prepare material if needed Taking minutes and distributing there of Receive, direct and reply to e-mails Respond to Customer, In-house and Supplier inquiries Redirect calls as appropriate and take messages when required Scanning and copying documents Maintain General filing Assist in planning and preparing for HO employees during stock taking Maintaining an adequate inventory of branch stationery Order PPE required for all branch employees Assisting in updating and correspond to medicals and inductions needed for employees Secretarial duties to important letters for the Technicians and others attention Draft Various Spreadsheets Typing letters and documents Assist in finding history on previous jobs Courier Waybills and sending of urgent documentation Hand deliver mail received by internal post, to its respective recipient Responding with detailed WIP feedback Booking Scheduled Accommodation Updating of LAF-Middelburg Plant List Schedules and deadlines are adhered to Work within all companies’ policies and procedures Ordering and Maintaining Stationery and equipment Supplies The Gatekeeper – Communicate calls and communication from others to the foreman when he is unavailable (in meetings or in the field at Customers) keeping information flow. Matric Specify: Minimum 4-5 years related experience and/or training; or equivalent combination of education and experience. Computer Skills To perform this job successfully, an individual should have knowledge of all Microsoft Office products such as Outlook, Word; Excel; Baan, and LISA (SMS – Service Client) Skills: Ability to work under pressure Attention to detail Being thorough Following instructions Logical Thinking Maintaining files Meeting deadlines Organizing files Performing clerical work Prioritization skills Reliability Using computers Writing clearly and concisely Writing letters, papers, or proposals Characteristics: Confidential and professional Broad-minded Committed Cooperative & Productive Friendly & Helpful Honest & Mature Reliable & Responsible Tactful Understanding Well-organized
