  • Description


    Administrators will be responsible for assisting with operations/sales or project duties. They oversee and perform day to day administrative functions. They take up the role of supporting various department heads to take over some of the routine administrative tasks that need to be done. Administrators play a collaborative role, working closely with project managers, contractors, safety officers, Hr Department, Sales and agencies.

    Key Performance Areas:

    · Establish and maintain efficient filing and archiving system

    · Maintaining and updating information and records such as site registers, drawings.

    · Receiving, capturing, collating, and distributing information.

    · Retrieve necessary information (e.g. user/client requirements and relevant documents)

    · Document and revision control.

    · Schedule meetings and record decisions (e.g. assigned tasks, next steps, minutes)

    · Manage schedules, arrange assignments, and communicate progress to all team members.

    · Enabling and maintaining communications between team members and other stakeholders.

    · Assisting in the preparation of weekly and monthly reports.

    · Ordering office supplies and resources such as equipment and software when needed.

    · Coordinate all site visitor and site mobilisation requests

    · Act as point of contact for Cape Town Head Office

    · Health and Safety:

    o Assist the HSE team in maintaining all necessary safety requirements on site, where required.

    o Assist with the data entry of HSE and contracts administration requirements, where required.

    o Record keeping and booking of staff medicals

    · Processing of payments

    · Human Resources (HR):

    o Staff Payslips

    o Recruitment Administration

    o Coordinate and manage all leave entitlements and termination procedures with relevant stakeholders

    · _ Payroll_

    o Staff Time Sheets and Food Money Allocation (as applicable)

    o Assist with payroll queries from employees

    · Keyfleet Database:

    o Site Bowser transaction administration - Keyfleet

    o Fuel Slips Recon - Keyfleet

    o Collecting and uploading trip sheets - Keyfleet

    o Submission of daily diaries - Keyfleet

    o Submission of Weekly reports

    o Vehicle Asset Check List Administration - Keyfleet

    o Incident Module Administration - Keyfleet

    · Budgeted weekly site hours versus actual

    · General administrative duties


    Matric Certificate
    Diploma in Business Administration or similar Qualification (Preferable)
    Knowledge of Project Administration principles and practices.
    Knowledge and Experience:

    · Minimum of 3 years’ previous experience in Administration, preferably within the transport industry.

    · Previous experience as a project administrator, highly desirable.

    Excellent oral & written communication in English and interpersonal skills.
    Excellent Communication and Collaboration Skills
    Good Administration and Organization Skills
    Excellent client-facing and internal communication skills
    Solid organizational skills including attention to detail and multitasking skills
    Must be flexible and versatile and able to work in high-pressure environments
    Strong working knowledge of Microsoft Office.
