  • Property Administrator

    Primary Purpose of the Job
    To carry out administrative duties and liaise with tenants to ensure a timely and responsive property administration service.

    Key Performance Areas (KPA’s)

    • To maximise the recovery of operating and municipal costs through monitoring of leases to establish which expenses are recoverable and taking steps to recover the expenses, where applicable.

    • To ensure annual turnover, levies,rates and insurance is billed correctly and timeously.
    • To ensure that leases are loaded 100% correctly on MDA and that all possible recoveries are loaded so that every month the maximum value for every expense is recovered from the tenants.

    • To ensure tenant satisfaction through resolving tenant queries and maintaining a comprehensive and up-to-date database of tenant correspondence within the limits and boundaries of binding contracts of parties as well as legislation.

    • To ensure that an excellent customer service is provided to tenants and that the CRM Module on MDA is monitored and updated daily.

    • To ensure each building is comprehensively administered and procedures followed with respect to, but not limited to correspondence, acquisitions and disposals, tenant deposits, insurance, correct apportionment of income and expenditure.

    • To conduct effective control of physical and electronic property management information and documentation.

    • To ensure that all documentation with regard to tenants and buildings is correctly and timeously filed electronically.

    • To conduct lease audits on an annual basis.

    • To ensure that all approvals required are in line with the Delegation Of Authority as amended from time to time.

    Job Specific Requirements

    Job Knowledge:
    • 1. MDA property management system knowledge (desirable)
    • 2. Good understanding of property administration and leasing
    • 3. Building insurance policies (desirable)
    • 4. Understanding of financial accounting

    Job Related Skills:
    • General administrative skills
    • 2. Conflict and dispute resolution with tenants
    • 3. Creating journal entries
    • 4. General computer proficiency (Intermediate level) (MDA - desirable)
    • 5. Time management skills
    • 6. Written and oral communication skills

    Job Experience:
    • Minimum of 2-3 years administrative experience (with preference to the property sector).

    • Grade 12 (essential)
    • Administrative, property, auditing or accounting oriented tertiary qualification (desirable)
