    Interacts With
    Job Description
    Type drafts from discussion notes with the CEO to finalise or update standard reports with latest information as requested
    Drafts and types routine letters based on precedence for the Managers signature or signs them in their absence\Receives, places, filters and conveys telephone calls and tactfully screens visitors and CEOs office
    Attend company and client meeting on behalf of CEO
    Member of the management team at select Client Board of Trustees meetings and draft minutes of select Client Board Meetings as assigned
    Pension/ Benefit Claims management by maintaining both manual or/and electronic claims register including monitoring and internal follow up on long outstanding claims
    Management of company and Client Board calender and meetings including timely preparation and physical and electronic mailing of Meeting and Board Packs
    Coordinates with the CEO daily on planning of the diary and work program and Makes internal and external travel and accommodation arrangements for staff and company visitors
    Supports the PR function with arranging client events and also the branding of the company via direct participation in presentations and workshop, clinics et cetera
    Office cleaning supervising and kitchen and tea, refreshments service supervision for staff and company visitors
    Opens, sorts, records and distributes incoming and outgoing correspondence
    Drafting and processing of registration document for PACRA and Ministry of Lands
    General office duties such as ordering stationary and records maintenance in the CEOs office
    Manage staff annual leave schedules, staff meetings in liaison with CEO and the Heads of other Business Units in the Group
    Open, sort, record and distribute incoming and outgoing correspondence
    Any other legal Ad hoc company assignments as maybe assigned to you by the CEO from time to time
    Candidate Specification
    5 years
    Education Level
    Business Administration/Management or degree in Pensions and Insurance studies with major interest in administration
    Hands on experience using Microsoft Word, Excel, Outlook and internet for collection of information
    At least 5 years working experience in a similar position operating various office equipment e.g telephone, photocopier, shredder, PC, scanners et cetera
    Knowledge Of
    Pensions administration and consultancy
    Skills To
    Writing, Reporting, Supply Management, Scheduling, Microsoft Office, Organizational, Time Management, Presentation, Equipment Maintenance, Travel Logistics, Verbal Communication
    Ability To
    Screen visitors tactfully
    Maturity, Tact, Diplomacy and Pleasant personality
    Working knowledge of administration
