  • Main purpose / objective of the position:

    Maintains the positive image of the company through the management of the reception area.

    Attends to visitors in a welcoming, pleasant and courteous manner. Directs customers to

    correct individuals or departments and resolves queries timeously.

    Mandatory requirements:

    The incumbent will be required to operate according to shift basis in accordance to Retail trade

    hours between 8am- 9pm Mon to Sun and public holidays.

    Overtime Compensation- time of “in lieu” or overtime allowance will be granted for overtime


    Travel- As the position operates with the retail environment, no travel will be granted to for

    shifts worked during.

    Probationary period- 6 months probationary period will be applied to successful candidate.

    Role/ Responsibilities:

    Reception Management:

    Switchboard Management- receive all calls within 3 rings; screening of calls for relevance;

    transfer calls to relevant stakeholders; message taking and delivery.

    Key Management- Issue and receipt of contractor keys.

    Boardroom management- manage all bookings; hygiene standards and refreshment

    management for meetings.

    Lost Property Management- receive and record all lost property and sign off for all reclaims.

    Parking Validations- Screen every parking validation; record information and request approval

    for all adhoc requests.

    Courier Service- management all incoming and out going mail to HO and other company sites.

    Refreshment stock Control- manage stock levels; record and track refreshments issued to

    internal staff; provision of stock orders to admin team and receipt/ packing of stock.

    Complaints management

    Receive complaints via walk-ins; telephone and email.

    Assist complaints according to company processes and procedure.

    Make informed decisions and actions to assist customer within authority.

    Escalate all complaints to relevant managers in accordance with company processes and


    Turnover Management

    Develop and maintain relationships with key contacts at retailers for collation of Turnover


    Collect turnovers on a monthly basis from all tenants. (Telephone, email, store visitation).

    Populate the base turnover report.

    Capture and verify the figures captured in Turnover report.

    Tenant Non-compliance- escalate all matters for tenant penalty letters to FM for approval.

    Facilitate issue and receipt of penalty letters.

    Administration and Marketing

    Drafting of letters/ documents for the business.

    Raising of requisitions (IT logs, procurement orders and other special requests).

    Manage Stock control sheets.

    Conducting and managing marketing surveys.

    Assist Marketing dept with managing compliments, complaints and general customer service


    Compulsory requirements: Experience / Education/ other :

    Senior Certificate or Matric or Equivalent

    Criminal clear

    ITC clear

    No Major health issues

    Skills required:

    At least 2 years minimum reception / switchboard experience; customer service and strong

    administration experience.

    Knowledge required:

     Computer literate

     Switchboard management

     Strong verbal and communication skills

     Telephone skills

     Ms Office knowledge and Experience.

    Competencies required:

     Stakeholder engagement skills

     Negotiation Skills

     Superior Organisational skills (ability to prioritise, manage time and meet deadlines) Multitasking-

    ability to handle multiply tasks with a variety of urgency efficiently.
