    An amazing opportunity exist for a half day accountant/bookkeeper at a well-known production house. The company is seeking a numerate, self-confident individual with keen attention to detail. The ideal candidate should possess a completed financial degree or diploma, have sound bookkeeping, payroll and creditors experience.

    It is essential that the candidate is adept at using VIP Classic Payroll, Pastel and Excel. The role will initially focus heavily on the payroll and creditors functions, with later development to the processing of records and further accounting functions

    Requirements:

    Financial / bookkeeping

    Be responsible for petty cash box – issue receipts for money received etc. Monthly spreadsheet with reconciliation and monthly count.
    Start and maintain a fixed asset file i.e. copy invoices, spreadsheet etc.
    Credit card analysis on Excel spreadsheets.
    Start and maintain a contracts file with all signed contracts with suppliers.
    Big shows – not sure at this stage what additional work might be needed here.
    May need to process cashbooks on Pastel Accounting along with reconciliations etc.
    Wages on VIP Classic

    Create wage companies.
    Maintain wages for all productions.
    Prep EMP201 info each month.
    Prep IRP5 info on annual basis.
    Register new employees for tax.
    Creditors (across the board – PTP, FTT and big shows)

    Collates all incoming electronic invoices.
    Request that if they send them by e-mail then they must not send by regular mail.
    Open all regular mail and collate and/or file all invoices coming in.
    Check addition of invoices where invoices were not generated on an automated system.
    Check petty cash submissions and addition thereof.
    Stick slips down for petty cash received and stick them down in the order that they appear on the ‘covering’ list.
    Reconciling statements and preparing items for weekly payment run.
    Filing of all invoices and proof of payments once paid.
    Ensure we obtain valid tax invoices including for debit orders.
    If not, liaise with supplier and obtain new one.
    Liaise with suppliers as and when necessary.
    E-mail proof of payments on request.
    Production related

    Verify production allocation and keep track of these production expenses on an Excel spreadsheet, a separate sheet for each production.
    This information must be up-to-date at all times and ready for handover to complete the royalty and show recons.
    Staff & HR admin function

    Keep track of staff leave.
    HR admin function.
    Start and maintain a staff file on each staff member.
    Check contracts are in place etc.
    WCA annual returns.
    WCA claims.
    General

    Spine labels for files.
    E-mailing IRP5’s.
    Completion and e-mailing UI-19’s.
    BEE compliance.
    Fixed asset/R&M file i.r.t. property control for the various properties owned. When we buy a new pool pump for particular property, run spreadsheet to keep track of invoice date and guarantee period etc. across the board for all items.
    Keep track of water accounts for all properties.
    Follow up on all invoices with tags sticking out to obtain the correct invoice. You can check with me if we have already asked them for an invoice eg. F&S Scaffolding pd 10th March.
    Keep copy invoices for the separate files for auditors of:
    CTTT
    FTT
    Alhambra Trust
    There may be additional items that will still need to be added to this list.
    Qualifications and experience:

    Completed B Com Financial Accounting Degree.
    Experienced VIP Classic Payroll.
    Pastel Accounting package.
    Full Creditors function.
    Excel intermediate/advance level.
