  • Company based in Midrand, requires an experienced HR Officer with very strong IR/Industrial Relations and Union liason skills.
     
    Co-ordinate HR Administration, Recruitment and Selection, Industrial Relations and Information and Statistics requirements associated with the Human Resources functionality  
     
    HUMAN RESOURCE ADMINISTRATION
    Document processing and recordkeeping
    Preparing the confirmation of employment letters, contracts, regret letters and termination of services letters
    Compiling reports on specific personnel related items (medicals boarding, study loans etc.)
    Completing standardised forms and documentation reflecting details/information and/or descriptions in respect of medical boarding, appointment/termination instruction and forwarding this to specific internal/external divisions for processing
    Perusing through minutes of meetings, extracting and updating relevant procedures, updating relevant procedural records in accordance with resolutions taken and/or alerting the Human Resources manager to outstanding issues
    Maintaining and updating personnel information with respect to:
    Changes in employment/personal status
    Attending to the safekeeping of personnel records/files in accordance with approved recordkeeping systems.
    Preparing memorandums to communicate specific Human Resources procedures and seeking approval prior to circulation
    Ongoing processing/updating of Human Resource information systems
     
    INDUSTRIAL RELATIONS
    Advise, consult, litigate and facilitate on all aspects of IR
    Assist in all strike related matters
    Draft disciplinary documents
    Facilitate and co-ordinate all grievance, incapacity and poor work performance procedures
    Update and maintain a comprehensive IR administration system
    Update all labour related policies and procedures
    Co-ordinate meetings between management and organised labour representatives
    Facilitate and maintain a good working relationship with union officials and shop stewards
    Consult and advise management and employees with regard to current legislation
    Monitor internal labour relations trends and submit relevant reports
     
    RECRUITMENT AND SELECTION
    Verify details of posts recorded on approved vacancy requisition forms and/or referring to the job description to establish role boundaries and specifications for inclusion into advertisements.
    Receive and reference applications from prospective candidates
    Verify and confirm references and related information as well as prepare shortlist of candidates qualifying for specific appointment criterions/standards
    Schedule and confirm interview dates and inform representatives and/or applicants accordingly
    Apply specific statutory and procedural sequences wrt engagement of successful applicants (unemployment insurance Fund Registration, Income Tax, Banking details, Medical checks etc.)
     
    INFORMATION AND STATISTICS
    Extract specific records and information from system databases
    Arrange and interpret information to formulate summaries and conclusions on specific dimensions of Human Resources within the organisation (employment levels, categories, gender and race groups, disabilities, skills profile etc.)
    Provide information to facilitate the compilation of statutory reports for submission to official regulatory bodies
     
    SECRETERAL FUNCTIONS
    Attend to specific arrangements associated with the notification, arrangement and provision of support in respect of:
    Committee meetings and dispute/disciplinary hearings, by confirming the venue, preparing notices/agendas and circulating to specific officials and representatives
    Communicating with officials and personnel in respect of outstanding items for inclusion into the agenda
    Preparing and submitting the minutes of meetings and/or disciplinary enquiries for verification prior to circulation
    Capturing of information into the HRIS timeously
    Proper filing and record keeping of all documentations received by HR Manager
    Preparing letters/correspondence as directed by HR Manager
    Ensure that the HR Division  adheres to the company procurement process.
     
    QUALIFICATIONS AND EXPERIENCE:
    Qualification in Industrial Psychology/Human Resource Management
    Skills Development Facilitation experience
    Industrial Relations experience - CCMA representation
    Fluent in VIP payroll and the HR module
    Must have good understanding of all labour legislation
    Fluent in English
    At least 3-5 years human resource experience in similar role
