  • Purpose of the Position:
    Work across multiple divisions to coordinate IT Asset Management activities with executive management to implement the goals, metrics, policies, processes and tooling needed to optimize the value derived from all hardware and software assets and to ensure software license compliance through the application of industry best practices
    • Works across multiple divisions to develop and continually improve asset management policies, requirements, processes and metrics. Includes evaluation and selection of asset management systems, including integration with other critical systems (discovery systems, configuration management system, financial system, contract system etc.).
    • Proactively maintains compliance position for key software vendors which includes performing periodic self-audits, engaging and managing external expertise where required, and providing recommendations for resolution of non-compliant situations.
    • Maintains integrity of all data in the ITAM repository. Performs reconciliation between asset records with other relevant data sources such as McAfee, Active Directory, SCCM, Apple Remote Desktop, SAP; investigate and resolve exceptions.
    • Provides data for support defence during software compliance audits.
    • Responsible for the inventory of technology assets, maintaining a centralized asset management tracking system and ITAM repository, and maintaining visibility of all software licenses and hardware requirements.
    • This position is primarily focused on management of software license compliance, hardware acquisition and allocation, maintenance renewals, life cycle planning and costing and the policies and processes to achieve this outcome.
    • Conduct research related to software utilization, compliance, requirements and entitlements
    • Interpret software licensing Terms and Conditions (contractual language) and reconcile it to actual deployed scenarios to determine financial exposure
    • Maintain software licenses and facilitate renewals prior to expiration
    • Identify savings opportunities for renewals, software licensing, and services. Follow through with vendors to achieve identified savings.
    • Reconcile asset records (e.g. quotes, purchase orders, invoices and contracts)
    • Research and report on queries regarding, but not limited to, IT purchases, maintenance and upgrades
    • Engage with the responsible hardware and software operational teams on a regular basis to review hardware utilisation and software compliance, and opportunities for optimisation
    Generate and collate reports for content and events
    Key Measures/KPIs
    • Software license entitlements and product configs (EOL, Owner, Reference Price) configuration in SmartTrack
    • Reconciled Hardware Asset baseline with Operations
    • ITAM Policies and Processes implemented and the number of employees who’ve signed/accepted these policies
    • Cost savings from Software Rationalisation
    • Unsupported/EOL software and hardware in mission critical environments
    • Rogue expenditure
    • Software compliancy rate (gap to true-up)
    • ROI planned and realised per asset
    People Management
     Oversee the activities of the ITAM team to ensure effective delivery of business outcomes.
     Develop a high performing team by embedding formal performance management process and informal coaching. Encourage frequent knowledge sharing between team members.
     Determine and analyse development needs for the team and ensure that identified training requirements are budgeted for and executed.
     Interview and recruit new members of the team, including determining appropriate compensation levels with input from Human Resources.
     Create effective workforce and recruitment demand plans to ensure that current and future business requirements can be met.
     When required, initiate disciplinary processes for team members calling on support from Human Resources when required.
     Resolve grievances raised by team members and escalate only if required.
     Address poor performance of any team member through the formal Performance improvement programme and ensure that continued poor performance is appropriately dealt with.
     Motivate team members and ensure that their efforts are recognised.
    Required Qualifications/Certifications
    • Bachelor's degree in business or technology or equivalent experience
    • Certification within at least one of the IAITAM certification(s) (CAMP, CSAM, CHAMP, CITAD, CMAM, CITAM)
    Preferred Qualifications/Certifications
    • ITIL
    • Six Sigma
    • Lean Principles
    • Three (3) or more years’ experience in an IT technical role including knowledge of server, cluster, cloud and virtualization technologies
    • Three (3) or more years’ experience in software and hardware asset management
    • Five (5) or more years’ experience in leading and managing a team
    • Strong understanding of Asset Management best practices, including IAITAM and ISO 19770

    • Comprehensive understanding of hardware asset acquisition and disposition
    • Sound experience managing and tracking software entitlements and compliance and determining financial exposure for large and/or complex organizations
    • Project management skills within technology and business environments
    • Significant experience with asset management toolsets (SCCM, IQSonar, SmartTrack, Remedy etc.),
    Report writing in various tools (MS Excel, MS PowerBI, MS SQL Server) an added benefit
