    About the job:
    Our client has a vacancy for Manager: FM&SS Planning, Monitoring, and Evaluation in the Legal, Compliance, and Business Enablement portfolio. The incumbent leads and manage the planning, co-coordinating and controlling of all Facilities Management and Security Services activities/projects, including service monitoring and evaluation. This position is based in Pretoria.

    Key responsibilities:
    Leadership
    An active member of the FM&SS leadership team with joint responsibility for developing and implementing the FM&SS Strategic and Operational plans.
    - Develop, implement, and drive the FM&SS Planning and Service Monitoring and Evaluation (M&E) strategy and plan.
    - Provide regular reporting to the Group Manager FM&SS. - Manage and develop staff to ensure high-quality personnel who are able to achieve performance objectives in support of the client mission and vision - Conduct performance management contracting and reviews for all staff at the recommended periods, for the purpose of managing & improving both individual performance and service delivery.

    Planning, Monitoring & Evaluation
     Accountable for planning, co-coordinating, and managing of all Facilities Management and Security Services activities and projects
     Ensure processes and procedures are in place for all major activities.
     Accountable for all Facilities Management and Security Services service standards.
     Evaluate Facilities Management and Security Services service delivery against service level targets.
     Monitor staff utilization ratios and make necessary improvements.
     Monitor the progress of capital projects against the plan.
     Monitor and report on all Facilities Management and Security Services Key Performance Indicators
     Track, monitor, and report on client's infrastructure backlog maintenance and make recommendations for addressing the backlog.
     Provide input into FM&SS departments’ budgets.
     Ensure weekly and monthly plans in place for technical staff.

     Ensure well-maintained assets and a productive workforce by anticipating and eliminating potential delays through planning and coordination of workforce, parts, and equipment access.
     Resource planning for FM&SS personnel to balance work requirements with available resources. Effectively plan, schedule, and coordinate all work requests.
     Ensure that all beneficiaries receive timely, efficient, and quality service. Regularly assess the quality of planning, recording, and archiving in line with ISO quality standards. Ensure building and equipment reliability through sound preventative maintenance planning.
     Initiate and implement organizational improvement plans for maintenance & technical services. Ensure the integrity of maintenance systems and maintenance data.
     Manage requests and approvals for funds for maintenance and refurbishment tasks within the approved budget.
     Maintenance planning and scheduling to ensure appropriate resource allocation.
     Develop, implement, and management of FM&SS Business Systems.
     Guide FM in resolving technical maintenance and service problems.
    Stakeholder Relationship Management
     Actively engage in both internal and external stakeholder meetings related to stores
    Engineering and Security Services.
     Build effective working relationships with managers, peers, team members, customers, and suppliers.

    SHEQ Management/Alignment
     Ensure compliance with SHEQ regulatory requirements and standards in the area of responsibility.
     Implement corrective action where deviations occur for the client.
     Identify risks, implement, and drive mitigation plans for the client.

    Management responsibilities
     Manage central FM&SS Stores and associated services.
     Manage, mentor, coach, and play an advisory role for staff growth and development.
     Conduct performance management contracting and reviews for all staff at the recommended periods.
     Identify and implement training interventions.
     Recommend and facilitate developmental plans.
     Dispute resolution.
     Ensure optimal resource deployment.
    Financial management
     Develop and manage FM&SS Planning and Service Monitoring and Evaluation Department budget.
     Cost-effective service delivery.
     Compliance with financial legislative requirements.

    Qualifications, skills, and experience:
     A Bachelor’s degree or equivalent in commercial, business administration, project management or engineering or any relevant qualification;
     At least five years’ management experience in facilities planning and service monitoring and evaluation, including a sound track record in the following:
    o People management, including performance management.
    o Project management.
    o Financial management.
    o Operational planning and implementation.
    o Resource planning.
    o Customer service orientation
    o Understanding industry standards and regulations.
     Knowledge of development and implementation of service level agreements and service catalogues;
     Planning systems;
     Project management systems;
     Quality management;
     Contract management;
     Service delivery;
     Root cause analysis and solutions implementation;
     OHS ACT;
