  • Our client in the Kloof area is seeking a Transport Controller
    Update transport planning schedule:
    Note position of each tanker & confirm movement to next position. If tanker does not move – follow up.
    Make notes on transport schedule regarding tanker progress – especially as regards issues requiring follow-up, & resolve.
    Update management with a moving 2 week forecast of customer deliveries & refinery collections.
    Communicate with transporters, clearing agents & customers
    Note also that tankers deliver to customers & collect from the refinery on public holidays & weekends (if required) thus need to manage any tankers on the road at this time.
    Keep refinery collection history file up to date:
    Invoice details from Refinery
    Manica costs iro agency & other fees on imported product.
    Transporter invoice details & costs
    Note time taken for each tanker from refinery to customer in order to maximise tanker turnover.
    Bank Documents re import control:
    Sending all relevant documentation pertaining to imported hfo purchase to bank timeously.
    Getting all the relevant documents from the transporters & Manica to ensure we have all the docs the bank requires.
    Handling & filing of all docs pertaining to product import & local purchases.
    Checking that all the documentation is correct with each transport invoice we receive.
    To follow up if docs are missing.
    Reporting & statistics:
    Number of tanker loads & tons received
    Number of tankers per transporter
    Average number of days taken; least number & most number
    Total value of imports & average cost per ton – made up of cost of product, cost of transport in & cost of agency fees
    Number of tanker loads sold, tonnage & value
    Credit balance in Refinery account in tons
    Issues / problems encountered & how resolved & successes achieved
    Other:
    Assist in answering switchboard when receptionist not available
    Be able to take over certain reception functions when receptionist not available
    Offer clients / customers tea / coffee etc
    Assist with managing the kitchenette.
    Any other office admin task as required
    Competencies & Attributes
    Able to manage an office iro documentation flow, communicate via e-mail using a computer, keep schedules as required using Excel and prepare reports using MS Word.
    Has a dominant character, detail orientated with a sense of responsibility, must be able to work under pressure and unsupervised – a customer first mind-set, clear communication & organisational skills, assertive & solution driven .
    Understand the anomalies relating to cross-border transport and customs requirements
    Organized & be able to implement systems to manage the job functions
    Energetic – continual monitoring of people involved in the transport system (customs, transporters & clearing agents) & being pro-active in identifying & managing issues.
    Confident & assertive – ensure you take evasive action to rectify potential problems & be in a position to pre-empt issues & problems.
    Independent – be able to work independently, take the initiative & grow the job. Ask questions to ensure understanding.

    Leadership qualities and problem-solving skills.
    Self-driven and have the capacity to bring in the desired results
    Key deliverables
    Ensure time taken for each tanker on deliveries or collections is minimized to ensure maximum efficiency – ie maximize the number of trips per tanker.
    Pro-actively Identify & resolve issues which may affect / delay the transport
    Build a relationship with transporters, clearing agents and refinery staff
    Update Pmb staff and customers with eta for tankers.
    Keep schedules, documentation & spreadsheets continuously filed & up to date
    MUST RESIDE IN THE UPPER HIGHWAY AREA
