Description
This role has the ability to provide administrative support to a Juice manufactory based in Pretoria. The candidate must have office administrative and bookkeeping qualification and will be responsible for the everyday running of a factory. Such a function will include managing incoming calls, record keeping, and production logistics for the factory. Provide bookkeeping service to the company, maintains records of financial transactions by establishing accounts; posting transactions; ensure legal requirements compliance. Other duties include communications, scheduling, data entry and secretarial services. Work activities include: • Meeting & greeting clients/customers in a warm, friendly manner. • Booking meetings. • Receiving and distributing mail. • Screening, answering and forwarding telephone calls. • Ensuring the reception area is kept neat and tidy. • Place direct and indirect materials orders as requested. Monitor prices and undertake cost reduction initiatives. Progress orders • Receive both indirect and direct material orders, book in and process the paperwork • Log hours booked by both direct and indirect personnel. Maintain holiday and sickness diary • Receive completed job packs and close out jobs as required • Take incoming telephone calls and forward to relevant personnel • Receive and take care of visitors • Be responsible for the management of stationary and vending supplies • Supply monthly reports to the Production Manager, including Work in Progress statistics • Perform other administrative duties as required to ensure the smooth running of the factory office • Develops system to account for financial transactions by establishing a chart of accounts; defining bookkeeping policies and procedures. • Maintains subsidiary accounts by verifying, allocating, and posting transactions. • Balances subsidiary accounts by reconciling entries. • Maintains general ledger by transferring subsidiary account summaries. • Balances general ledger by preparing a trial balance; reconciling entries. • Maintains historical records by filing documents. • Prepares financial reports by collecting, analysing, and summarizing account information and trends. • Complies with national, provincial, and local legal requirements by studying requirements; enforcing adherence to requirements; filing reports; advising management on needed actions. • Preparation of VAT and Provisional Tax documents. -Requirements- Minimum level of education: Grade 10 /N2 Availability for travel: No Availability for change of residence: No.
